Your privacy matters. This page explains what personal data we collect, why we collect it, how we use it, and the rights you have over your data, as required under the EU General Data Protection Regulation (GDPR) and equivalent rules.
1. Who we are
Ocean Nomads B.V. is the data controller for the personal data we collect through our website (oceannomads.co), application forms, lead magnets, newsletters, community platform, social media, ads, and any direct communication. You can reach us at ahoy @ oceannomads.co for any data-related question.
2. What we collect
Depending on how you interact with us, we may collect:
- Application and booking data: name, email, phone, age, nationality, sailing or relevant experience, motivation, health and fitness information you choose to share, emergency contact, passport details and insurance details where required for a trip, payment information.
- Lead-magnet and waitlist sign-ups: name, email, the resource you requested, your interests where you shared them.
- Newsletter and community data: name, email, country, your sailing or travel preferences if you have shared them, and your activity inside our community platform.
- Communications: emails, application call notes, messages you send us via website forms, social media, or the community platform.
- Image and video: photographs and video taken during pre-trip events and trips (see section 12 of our Booking & Service Terms).
- Technical data: IP address, browser type, ISP, device type, pages viewed, time on site, referring pages, clicks. Collected automatically when you use our website.
- Advertising data: cookies and pixels from Facebook, Google, and similar platforms when you visit our site or interact with our ads.
3. Why we use it (lawful bases under GDPR)
- Contract: to process your trip application, run the booking, communicate about your trip, pass necessary information to the Operator, and provide the Ocean Nomads programme.
- Legitimate interest: to run and improve our business, send relevant content to people who have shown interest (subject to the right to object), run website analytics, prevent fraud, handle complaints, evaluate trips, and grow the community.
- Consent: for our newsletter, marketing emails to leads who signed up for a freebie or waitlist, non-essential cookies (including advertising pixels), and use of identifiable images of you in marketing material. You can withdraw consent at any time.
- Legal obligation: to keep accounting and tax records as required under Dutch law.
4. Marketing and lead generation
When you provide your email address or other personal information through our website, ads, lead forms, waitlists, freebies, or social media, you may receive communications from us. These may include sailing tips, stories, course updates, trip announcements, resources, community invitations, and promotional messages.
You can unsubscribe at any time using the link in our emails or by emailing ahoy@oceannomads.co. We do not send spam, and we do not sell your data or share it with third parties for their own marketing.
5. Who we share data with
We share only what is necessary, with:
- The Operator of your trip (for example SV Twister): your name, age, contact, emergency contact, passport and insurance details where they need them to run the voyage and meet maritime requirements.
- Payment processors: PayPal and our business bank, or the Operator’s own booking portal where you pay them directly.
- Email and community platforms: providers we use to send newsletters, host the community, and run application forms (operating under data-processing agreements).
- Analytics and advertising platforms: Google Analytics, Facebook (Meta), Instagram, and similar, using cookies and pixels to measure performance and serve relevant content. These platforms have their own privacy policies that govern their use of your data.
- Authorities: if legally required (tax, law enforcement, court order).
We do not sell your data.
6. International transfers
Some of the tools we use (for example email, analytics, ad platforms, community platforms) are based outside the European Economic Area, primarily in the United States. Where this applies, we rely on EU Standard Contractual Clauses or other approved safeguards to protect your data.
7. How long we keep it
- Lead-magnet sign-ups, waitlist sign-ups: until you unsubscribe, then deleted within 12 months.
- Newsletter subscribers: until you unsubscribe.
- Application data for non-selected applicants: up to 12 months, then deleted.
- Booking and trip data for participants: up to 7 years after your last trip, in line with Dutch accounting and tax record-keeping rules.
- Image and video: until we no longer use it for marketing or you ask us to remove it, whichever is sooner. Copies may remain in archived posts or printed material where reasonable removal is not possible.
- Community-platform data: until you leave the community, then deleted within 6 months.
- Technical and analytics data: typically up to 26 months (Google Analytics default), or as set by each tool.
8. Your rights under GDPR
You have the right to:
- Access the personal data we hold about you, and receive a copy
- Rectify inaccurate or incomplete data
- Erase your data (right to be forgotten), subject to legal record-keeping obligations
- Restrict processing in certain situations
- Object to processing based on legitimate interest, including direct marketing
- Data portability: receive your data in a structured, machine-readable format
- Withdraw consent at any time where we rely on consent
To exercise any of these rights, email ahoy @ oceannomads.co. We respond within 30 days. There is no charge for reasonable requests.
If you are based in California and CCPA applies to you, you have additional rights to know what personal information we collect and to request deletion. Email us with your request.
If you believe we have not handled your data properly, you can complain to the Autoriteit Persoonsgegevens (Dutch Data Protection Authority) at autoriteitpersoonsgegevens.nl.
9. Cookies, analytics, and ads
Our website uses cookies to run the site (essential), measure traffic (analytics), and run advertising campaigns. We use tools such as Google Analytics, Google Ads, and Facebook (Meta) Pixel.
When you visit our site you will see a cookie banner asking your consent for non-essential cookies. You can change your choice at any time via the cookie settings link in the footer. You can also disable cookies in your browser, although the site may work less smoothly.
We do not control third-party cookies used by advertisers and platforms. Refer to their own policies for more detail (Google, Meta, etc.).
10. Children
Ocean Nomads is intended for adults. We do not knowingly collect personal information from children under the age of 16 (Dutch GDPR threshold for parental consent for online services). If you believe a child has provided personal information without parental consent, please contact us and we will promptly remove it.
11. Security
We take reasonable technical and organisational measures to protect your data, including secure passwords, limited access, encrypted connections (HTTPS), and use of reputable third-party services. No system is fully immune to risk. If a serious data breach occurs, we will notify you and the Autoriteit Persoonsgegevens as required by GDPR.
12. Changes to this policy
We may update this policy from time to time. The current version is always on our website at oceannomads.co/privacy. The “Last updated” date at the top tells you when it last changed. For significant changes, we will notify you by email or community announcement.
